Club Competition Secretaries
Pixoroo For Club Competitions is the module in the Pixoroo Portal designed to run club competitions. Within this unit there are three portals, The Admin Portal, the Entrants Portal and the Judges Portal. Pixoroo for Club Competitions can run ALL aspects of a club competitions.
Pixoroo can run several types of competitions also called frames. The frames are, Aggregate - Standalone - Battle - Exhibitions- Challenge - Knockouts - External and Non-Comps. When you create a competition, you select a Frame you wish to use. All the properties of the competitions will be customised automatically for the selected frame.
Pixoroo has three main roles: Admin, Contributor and Special Role. The contributor is the right-hand person of the Admin and can act as the admin. The Special Role works in conjunction with what we call "Frame Roles".
The Frame Roles are: Aggregate Admins - Standalone Admins - Battle Admin - Exhibitions Admin- Challenge Admin - Knockouts Admin - External Admin - Club Reporter - Memberships Admin. These are only available if the corresponding frames have been switched on.
If someone has the Special role with Aggregate admin this person can only view and access competitions of the type Aggregate and nothing else. The "Frame Admins" permissions work accumulatively e.g. someone can be Aggregate Admin, Battle Admin and Standalone Admin and so on.
The Memberships admin deals with members, e.g. inviting them to join, confirming their memberships, or banning someone who has not paid the subs!
The Reporter role is a special role that allows someone to see everything but not be able to make any changes. It is meant for those who update the clubs website for example.
Yes, you can group different competitions together to get a combined result.
Everything. All members can view all competitions and all competitions' results. They can view all the images, their authors, scores, leaderboards etc. All new images become available to all members after the results have been released.
All of it. Once a competition is created everything is controlled by the dates you set, e.g. the members can only enter when the competition is open, they cannot enter when it is closed. A judge can only see the and pre-score the images when the competition is closed etc. All activity is controlled by the dates you set.
The adjudication process depends on the type of Adjudications of which there are two, In Person and Remote. With the "In person" type the judge(s) is/are in the hall and score the images. With remote judging the judges score the images in their own time within the dates set by the organiser.
Pixoroo can run competitions that use Awards e.g. First, Second, Third etc. or points e.g. 1-20 or whatever you set as the number range. Pixoroo can also do dual scoring in which you can have multiple images scoring e.g. 20 yet only one gets the First Award.
Yes, the results of all competitions in the Aggregate Frame are automatically aggregated and the results automatically updates in real time.
Non-Comp stand for Not Competitive. You can use this frame to server as a talking point around a gallery of images. In the end, typically a non-comp is deleted.
You can run inter-club competitions with as many clubs as you like. Each club can upload as many images as you, as the host, set up.
Yes, "Salon Style" judging is available on Pixoroo for all types of competitions. You can have any number of judges using their mobile devices or laptops to score within the range of scores set for the competition.
Yes, if selected by an admin, Pixoroo will read the titles of the images in the chosen language and gender selected. Pixoroo will also read out the scores and awards.
Yes Pixoroo supports levels. You can create any number of levels you wish. When creating a competition you set a level as well (or not). Members can only enter competitions set at their level.
Yes, Pixoroo provides a feature called Categories. Every competition must have a category e.g. Open Colour, Mono, Nature etc. When you create a category you normally add rules to it. These rules must be accepted by an entering member before a member can participate.
Yes you can although it would be much easier for the entrant to enter themselves.
When an entrant upolads an image to a competition, Pixoroo check the image meets 4 criteria:
- Image Dimensions - Image MUST NOT be larger than stated.
- Image Size - Images MUST NOT be bigger than stated e.g. 2MB, although the threshold can be changed by the system admin for the club.
- Colour Space - Images should have the colour space sRGB.
- DPI - The DPI resolution should be 300.
Yes, if the downsizing is enabled by the admin, images, if they are larger than stated, will be resized automatically and the entrant informed that their images has been downsized automatically.
Yes, if you wish you can see all Exif data of all images entered in a competition.
There are two ways to deal with this issue. The admin can delete the image or the whole entry from a competition or the admin can "Quarantine" an image. If quarantined, an image will not be displayed anywhere. Only the entrant him/herself can see the image and the admins. The image will not be judged.
Yes, there is a special interface where you can decide to selected the number of images from each member that is to be judged. The last image(s) will not be judged.
More often than not the images need to be randomised when a competition is closed and before the images are sent to the judges to preview/score. There are four types of image randomisation on Pixoroo:
- Machine Randomisation - Just select this option and the machine will randomise the images.
- By Entrants - Images will be randomised by entrant e.g. Entrant one, two three etc..
- By Image Order - Images will be randomised by Image Order e.g. the order in which they were uploaded. First uploaded, then second uploaded and so on.
- Manual - Use the drag & drop facility to drag and drop the images as you wish. This option is good for randomising prints when the physical prints are randomised first then the DPIs second.
Yes, you can run Print Competitions on Pixoroo much in the same way as you run a DPI competition. For every print send to the comp secretary, the entrant uploads a DPI version. On the adjudication night the judge judges off the prints whereas the members view the images on the big screen.
Yes. For print competition there are utilities that allow you to choose what to print on the labels and what colour. You can also print Exhibition Tags for exhibition purposes.
fYes, you can set the individual number of entries for a competition then group together multiple competitions and set a new total number for the whole group.
Yes, if by default all your members who have not entered a competition will receive a reminder email about the competition that is about to close. Those who have entered will not receive the reminder. You can switch off this behaviour if you wish via the configuration page. This will affect all the reminders, or you can switch if off for a particular member from member's details page.
The level of engagement depends on whether a competition is judged "In Person" or Remotely.
For competitions that are judged in person, the comp secretary can choose any level of engagement with a judge, for example:
- Cold Judging - e.g. the judge is not given the option to preview the images. The judge arrives on the day of judging and scores the competitions. In this scenario Pixoroo has no record of who the judge is.
- Previewing Only - in this scenario you typically send a link to the judge. The judge then uses the link to see the images but the judge does not pre-score the images.
- Previewing / Scoring and Commenting - in this scenario the judge pre-scores and comments on the images. On the night the judge can view the scores and comments on his mobile device as aide during the real judging. The judge can also print off a sheet with the scores and comments.
- The judge can also make his/her comments available to the entrants to read after the competition is judged.
Before a judge can be assigned to a competition, the judge must be added to the "Judges Bank" for the club. Once assigned to a competition, when the competition is closed the an admin can send a link to the judge via Pixoroo. All instructions about how to log in, view and score the images will be in that email. This is all that is required for PDI competitions. For Print Competitions the actual images will need to be sent to the judge as well. Also for print competitions the judge will only see thumbnails of the images as the judge is supposed to judge on the actual prints.
Yes, if you opt for the AI Judge for a competition, the AI judge tools will become available on Pixoroo. As a process, you find the AI provider of your choice, upload images, write the prompts that give you the desired comments and scores. The comments and scores can then pasted and saved against the images. On the adjudication night just click on the audio control for the judge to read out his/her comments and deliver the score.
No. Pixoroo is a web application and to use Pixoroo for any reason you need to be connected to the internet. The internet speeds required for Pixoroo to work well are 5MBS and above.
You can print reports from many pages on Pixoroo. The most comprehensive tool is however is the Club Library. There are advanced search tools that you can use to find find any image or group of images in a large number of search criteria.
Pixoroo's Club Library is a great tool for finding and selecting images you wish to use for an external competition. Once the images have been selected you can download them and upload them to whoever is hosting the external competition. There is also a "Favourite" feature in which you and the other members of your team can favourite images with the aim of reviewing them later. You can also create a competition of type External and upload your selected images to it. When the results are published you can save them against your Pixoroo competition. At that point the scores will be available to all members to see from the members portal.
Pixoroo data is kept in Microsoft Cloud Servers in the UK.
Microsoft cloud technologies offer robust security and we make maximal use of it. Like with every other internet application though nothing is 100% secure.
Whilst Pixoroo is built with Photographers and Photography contests in mind there is no reason why you cannot run any other types of competition in it. Let us know what your requirements are and we will consider them.

Club Competition Entrants
Normally it is the membership secretary of your club that sends you an invite from Pixoroo to join the club. In that invite you will have all the instructions you need to join. The process depends on whether you already have a Pixoroo account or not.
If you do then you will have to join from within Pixoroo. E.g. you log in then hit the My Account panel. On the account home page select Profiles then from the profiles page click on the Register Button of the Club Entrant Panel. You will be asked to supply a code. If you do not have the code the club admin on Pixoroo can give it to you.
If you do not have a Pixoroo account already, you will need to create one. You can register for a club entrant member account using this link Register however you will still need the club code, which you can get from the club admin.
Once you are registered, using either ways mentioned above, the club admin on Pixoroo will still have to confirm your membership. Once confirmed, you will receive a confirmation email and you can log in and enter competitions set up by your competition secretary for your club.
When you log into Pixoroo and click on the Club Entrant panel, you will be sent to your club entrant portal. All forthcoming and open competitions will be listed on your portal. Click on any of them to enter. You can also use the main menu on the left to find competitions to enter.
Find the competition you wish to edit on the portal main page or via the main menu and then click on the edit button. You will see the existing entered images. Simply upload a new replacing image to replace what you have uploaded. When done click on the complete and then confirm button to receive an automated email for the competition entry.
From the main menu in your entrant portal expand the menus on the left to fine the competition you as looking for. Once found just click on it to view your entries. The scores and/or awards will appear only after the results released date which is set by your admin.
You can see all other members' entries for a competition by first going to that competition, then from the bottom right of the page click on the "Gallery" button. on the next page your will see all images entered, their scores etc. as a list and or as a gallery.
From the main menu on the left click on the header of Aggregate Competitions e.g. Aggregates. You will see all competitions under that header as well as "Standing" links with a start icon next to them. Click on the link to view the aggreagted restuls for the season you are in.
Yes, all images you have ever entered are displayed in your "Image Library". You can search for images in your library, download them etc.
The Club Gallery shows ALL the images entered by all members at all times, irrespective of the season. You can filter images by date, image title or author name.
The copyright of an image is always with the photographer/author. Pixoroo and the organisation running the salon may use an image for their own promotion properly crediting the author, but the copyright remains with the artist.
Pixoroo data is kept in Microsoft Cloud Servers in the UK.
Your images on Pixoroo are your and only you can delete them. They will also be deleted if you close your Pixoroo account completely.
